Payment Terms & Conditions


Kavana Travels
Effective Date: 27 July 2025



1. Booking Confirmation & Payment

  • All bookings must be confirmed in writing via email or signed agreement.
  • A booking is considered confirmed only upon receipt of the specified deposit or full payment, as communicated by our team.
  • All payments must be made via approved methods (bank transfer, UPI, or online payment gateway). Charges for international remittances or card payments, if any, are to be borne by the client.
     


2. Deposit & Final Payment

  • A non-refundable deposit is typically required to block services (hotel, transport, flights, etc.). The amount will vary depending on the nature of the booking.
  • Final payment must be made as per the timeline mentioned in the proposal or contract. Delays may result in cancellation of services without liability.
  • In the case of flight or hotel bookings, full payment may be required upfront as per third-party policy.
     


3. Cancellation & Refund Policy

  • All confirmed bookings are non-refundable unless stated otherwise in the signed contract or service agreement. 
  • Refunds (if any) will only be applicable in accordance with the cancellation policies of hotels, airlines, and other vendors, and are subject to their terms.
  • If a refund is approved, it will be processed within 7–10 business days, after deducting applicable charges (including service fees, bank charges, etc.).
  • In the event of a no-show or last-minute cancellation, no refunds will be issued.

 

4. Changes & Modifications

  • Requests for date or service changes must be submitted in writing. Acceptance is subject to availability and vendor approval.
  • Any additional costs incurred due to modifications will be borne by the client.
     


5. Pricing & Service Terms

  • All prices quoted are based on current rates, exchange rates, and availability.
  • Kavana Travels reserves the right to revise prices before confirmation in case of any changes in external factors or supplier policies.
  • Once services are confirmed, prices will not change unless there is a scope revision.
     


6. Force Majeure

  • Kavana Travels shall not be held liable for any loss, damage, delay, or cancellation arising from unforeseen events including natural disasters, political unrest, strikes, travel restrictions, or similar circumstances beyond our control.
  • In such situations, we will make every effort to reschedule or provide credit wherever possible, but refunds are not guaranteed.
